This 27,000-square-foot building was constructed in the 1990s and was recently remodeled, with a few odds and ends remaining to do. It sits on 4 acres, including our building, parking lot, outdoor pavilion, gardens, and landscaping. The Facilities Manager will be responsible for managing the building and grounds (except the gardens, which are cared for by other staff), ensuring a clean and safe working environment as well as compliance with all local, state, and federal laws and regulations pertaining to facilities and employee, tenant, and client safety.

SCOPE OF SERVICES:
The Facilities Manager is an independent contractor that works with the Executive Director and Board of Directors of Oberlin Community Services (OCS). The property manager will manage the day-to-day physical operations of the property at 500 E. Lorain Street, Oberlin, Ohio, and will work to maintain and enhance the value of the property. Duties include ensuring all systems are maintained, serviced, in good working order and in compliance. This includes all aspects of the physical plant, such as:
• Roof
• HVAC, BAS, boiler and other heating/cooling systems (change filters, check regularly, work with service providers)
• Electrical and plumbing systems, including back-up generator
• Elevator
• Fire safety systems
• Building itself and pavilion
• Exercise equipment
• Lighting
• Solar array
• Parking lot, sidewalk, lawn, and trees
• Kitchen inspections
• Maintain a maintenance program and a schedule to track service agreements and ensure contracts are followed and buildings are in compliance
• Contract negotiation to ensure value of work by contractors within OCS budget
• Maintain positive and respected relationship with contractors and service vendors
• Ensure building and grounds are clean and trash/recycling disposed of properly
• Conduct simple repairs, and through routine and preventative maintenance, maximize life and use of equipment
• Schedule maintenance and repairs that are not within manager’s skill set, negotiate contracts with vendors, conduct follow up, thoroughly inspect property at least every other week to ensure it is in good working order
• Quickly resolve emergency maintenance issues
• Ensure timely processing of invoices, service agreements and the like
• Solicits bids for board approval of major projects
• Prepare financial proposals, quotations, and estimates for routine maintenance and repair projects. Monitor zoning and other regulatory issues
• With ED, manage and oversee construction improvements
• Energy management to ensure eco-friendly and sustainable practices are used as much as possible specifically surrounding the building’s automation system or BAS
• Conduct a bi-weekly walk-through of the building and maintain a log of incidents or issues that may arise and shall include a summary of actions taken to resolve them

• Must be reliable and able to work unsupervised
